Create care plans and plan visits

In this article, we explain how to create a care plan and set up plan visits so they book correctly.

Care Plans define what care a client receives, while Plan Visits control how often visits occur. Correct start dates and recurrence settings are essential, especially for weekly or two‑weekly care patterns.

Create a new care plan

To create a new care plan, follow these steps:

  1. Click Clients, then click Care Plan Planning.

  2. In the top section (Care Plans), click New.

  3. Enter the required details.

  4. Choose the correct contract for invoicing.

  5. Set the Start Date to the first day of your working week.

  6. Click OK.

The care plan is now created and ready for plan visits.


Create plan visits

  1. In the Plan Visits section, click New.

  2. Choose the appropriate Visit Type.

  3. Set the Preferred Time.

  4. Enter the Visit Duration.

  5. Click Recurrence.

  6. Select the required days of the week.

  7. Set the Pattern of recurrence start date.

  8. Click OK.


Important recurrence rules to prevent errors

Working week start

  • The Pattern of recurrence start date must always be the first day of your working week.

Two‑weekly (Week 1 / Week 2) plans

  • For Week 1, set the recurrence start date to the Week 1 start date.

  • For Week 2, set the recurrence start date to the Week 2 start date.

Example:

  • Week 1 start: 06/09/2020.

  • Week 2 start: 13/09/2020.

Using the wrong start date causes visits to book on the wrong week or not book at all.
