The integration between Business Manager and Access Care Planning (ACP) shares client, worker, and visit data to ensure accurate schedules and care delivery. If data doesn’t publish correctly, care workers may not see future visits, which can result in missed care.
What data is published?
The integration publishes the following records:
Clients.
Workers.
Plan visits / service requirements.
Visits:
Planned.
Unplanned.
Ad‑hoc.
To maintain performance and data quality, the integration only publishes data that meets specific conditions.
Publish future visits
Visits outside the current publish window won’t sync until you explicitly publish them.
To publish future visits, follow these steps:
Click Bookings, then click Book Visits.
Click Publish Schedules.
Set a Publish date up to two weeks in the future.
Select the required Group checkboxes.
Click Publish.
Only visits within the selected window publish to ACP.
Clients not publishing
To publish successfully, clients must:
Have an active status.
Link to a monitored contract used by ACP.
Link through Care Plan Planning or allocated visits.
Manage monitored contracts
Click Monitoring.
Click Access Care Planning configuration.
⚠️ Important: Avoid changing other configuration fields, as this may affect the integration.
Select the Contract checkbox.
Click Save.
Workers not publishing
Workers must meet all of the following conditions:
Have an active status.
Be enabled as a Mobile Care Worker.
Allocated to a visit linked to a monitored contract.
Allocated to a visit within the publish window.
🤓 Tip: If you need a worker to appear urgently, temporarily allocate them to a published visit for 10–15 minutes, then reassign the intended worker. This prompts the integration process to run.
Visits not publishing
⚠️ Important:
De‑allocating a visit cancels it in ACP.
Manually confirming a visit before publishing prevents it from syncing.
Visit requirements
Visits must:
Link to a monitored contract.
Start within the publish window.
Allocate to a mobile‑enabled worker.
Plan visits not publishing
Plan visits publish only when these conditions are met:
Link to a monitored contract.
Have at least one allocated visit successfully published.
Include a value in the Visit Type description field.
📌 Notes:
Plan visits with no allocated or published visits won’t appear in care plans.
Deleting a plan visit deactivates the related care plan in ACP.
Data still not syncing
If all criteria are met and data still hasn’t published after one hour, check the system status:
Click Monitoring, then click Access Care Planning configuration.
Confirm Statistics and Last export date show activity within the last hour.
Click Mobile, then click Settings.
Confirm Last successful sync occurred within the last 30 minutes.
These timestamps confirm whether integration processes are running correctly.
