Calculate mileage and travel time for visits

In this article, we explain how to calculate mileage and travel time for visits and how to resolve address issues that prevent calculations.

Mileage and travel time can be calculated for visits to support carer pay and client charging. You must calculate travel first, then apply the results to the visits.

To calculate mileage and travel time, follow these steps:

  1. Click Bookings, then click Work with Shifts.

  2. Set the date range for the period you want to calculate.

  3. Choose the shifts:

    • Click on the first shift.

    • Hold Shift and click on the last shift.

  4. Click Calculate Travel.

    • The system calculates routes and mileage.

  5. Select Distance and/or Travel Time options.

  6. Click Update.

When the Calculate Routes window closes, mileage and travel time are added to the visits.


Confirm calculations completed

To confirm that the calculations were completed, follow these steps:

  1. Click Calculate Travel.

  2. Check that all shifts show a green tick.

A green tick confirms that mileage and travel time were calculated successfully.


Yellow triangle errors

A yellow triangle next to a shift means the address is unqualified. Unqualified addresses result in incorrect mileage and must be resolved before recalculating.

To fix this, follow these steps:

  1. Click on the shift showing the warning.

  2. Click Qualify Address.

  3. Correct or confirm the address details.

  4. Click Calculate Travel again.

Once all shifts show a green tick, mileage and travel time are ready for payment and charging.
